RainFocus booth selection
Let exhibitors registering in RainFocus pick their booths on your floor plan, or send RainFocus their ranked booth choices.
If your exhibitors register in RainFocus, RainFocus can send them to your floor plan to pick their booths. Map D assigns the booths they pick and tells RainFocus, or passes their ranked choices to RainFocus to decide later. The settings are on the Integrations tab of Registration & Orders, under RainFocus booth selection.
Set it up
- Open Registration & Orders and select the Integrations tab.
- Under RainFocus booth selection, turn the switch on.
Enter the API profile key RainFocus gave you for the event, and the RainFocus endpoints you use: Exhibitor profile endpoint and Booth store endpoint for booth selection, Booth choices endpoint for booth choices. Each must be an https address on rainfocus.com.
- Select Save RainFocus settings.
The key and the signing secret are stored encrypted. After you save, the form shows saved next to them instead of the value. To keep a saved value, leave its field blank.
If your show moved from your previous platform
Your RainFocus endpoints come over with your show, but the API profile key doesn't: keys aren't copied between platforms, for security. RainFocus booth selection starts off, and the panel shows the last 4 characters of the key you used before, so you know which one to enter. Enter the API profile key, turn the switch on, and select Save RainFocus settings.
The link RainFocus sends exhibitors to
Once RainFocus booth selection is on, the panel shows the Booth selection link for RainFocus. Give it to RainFocus. RainFocus adds these to it for each exhibitor:
- RF_Exhib_ID: the exhibitor's RainFocus ID.
- RF_Num_Booths: how many booths they can pick (up to 50).
- RF_Selection_Mode:
1to assign booths,0to send ranked choices only. - RF_Redirect_URL: where to send them back to in RainFocus.
- RF_Booth_Type_Criteria (optional): the booth types they can pick, separated by commas.
- Map_ID (optional): which of your maps to open. Without it, your first map opens.
Use the numbers listed under Booth type IDs and Map IDs in the panel.
What exhibitors see
Exhibitors see your floor plan with only the booths they can pick highlighted: open, for sale, with no exhibitor on them, and of an allowed booth type. They pick booths on the map and see them under Booth Selections, where they can remove one, or select clear all. They then select SUBMIT.
Map D checks every rule again when they submit: how many booths, which booth types, and that each booth is still free. If two exhibitors pick the same booth at the same time, only one gets it, and the other is asked to refresh and pick another booth.
Booth selection (RF_Selection_Mode=1):
- Map D looks up the exhibitor in RainFocus, then finds them in your exhibitor list: first one who picked booths through RainFocus before, then one with exactly the same company name. If there's no match, Map D adds them to your exhibitors.
- The booths are assigned to them and marked sold, and each booth is sent to RainFocus.
- An exhibitor who already has a booth can't pick again. They are asked to contact you. To change their booths, edit them in your exhibitor list or on the map.
Booth choices (RF_Selection_Mode=0): the booths are sent to RainFocus in the order the exhibitor picked them. Nothing is assigned in Map D.
After submitting, exhibitors see a thank-you message and go back to RainFocus.
Signed links
To stop anyone from editing a link to allow more booths or other booth types, enter a Link signing secret and share it with RainFocus. Links then need an RF_Signature: an HMAC-SHA256 of RF_Exhib_ID|RF_Num_Booths|RF_Selection_Mode|RF_Booth_Type_Criteria|RF_Redirect_URL, written in hex. Links without a matching signature are refused.
